POSITION: ADMINISTRATIVE ASSISTANT FOR CCE (1 position)

WORK HOURS: Full-time, 40 hours/week
DURATION: One-year renewable
The International University of Grand-Bassam is seeking one candidate to fill the position of Administrative Assistant for CCE in the CCE Unit (CCE).

The International University of Grand-Bassam (IUGB) is a private, publicly supported institution established within the framework of a public-private partnership. IUGB offers an American curriculum in English. It opened in 2005, and, by the signing of Decree 2007-499 on May 16, 2007, was formally accredited as a University within the Côte d’Ivoire higher education system. BASIC FUNCTIONS OF POSITION
Under the supervision of the Director of the Center for Continuing Education (CCE) and the Accountant I (ACC I), the Assistant shall provide personal administrative support to the center through general clerical, receptionist and project based work. S/he shall also apply basic principles of accounting to analyze financial information related to the Center in order to prepare financial reports for the Accounting Unit. ESSENTIAL DUTIES AND RESPONSIBILITIES
All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.
DUTIES:
- Answer phone calls and emails; and be able to project in a professional manner the image and role of the CCE mission in particular and IUGB’s at large.
- Record and follow up CCE students’ registration, payment and debt collection.
- Manages the attendance forms for classes
- Maintains records related to the arrival and departure of faculty in the classroom building and reports these hours to the CCE director
- Assist the Director in program coordinating
- Be a liaison between the CCE Unit and the Accounting one by preparing monthly financial reports on customer accounts.
- Follow up the inventory of the CCE equipment.
- Carry out any other duty as requested by the Director.
Knowledge, Skills and Abilities.
- Knowledge of Microsoft Office tools, telephone protocol and basic knowledge of Sage Software)
- Effective organizational skills
- Fully bilingual French-English; ability to communicate in English, oral and written, will be tested prior to employment.
- Working knowledge of general accounting standards as well as local bookkeeping standards
- Ability to establish and maintain effective working relationships.
- Knowledge of University policies and procedures
Qualifications
- Associate degree in Assistantship/Secretary with basic skills in Accounting and equivalent and two years’ experience in a similar position.
