Description du poste

Receive by e-mail and ensure that the conference flow and signatures of the monthly measurement reports are followed correctly, to perform the protocol through the Customer's online system and send copies of the reports for those interested.
Administrate the receiving and sending of letters through the protocol system and control number.
Keep control of the office supplies stock and, when necessary, request the creation of purchase orders for missing materials.
Assist ICT in keeping the contact lists of the office and the ship up to date by contacting them whenever there is a change in staff. Distributing the information by email to interested parties where the list can be found.
Prepare minutes at operation meetings, or when requested, following the sending to the conference of those involved.
Assist in the creation of a letter to the maritime authority for the warning of vessels close to the unit.
Scan and send ENI Performance Assessment Bulletins of Quality for archiving and for those to whom they compete.
Scan and archive the minutes of operations meetings that take place monthly at ENI and send to those with whom they compete.
Prepare the FPSO Operations Manager's refund report and ensure that the flow is followed until payment is made.
Assist, when necessary, in residential maintenance contracts of the FPSO Operations Manager.
Assist the relocation department in receiving housing bills and other expenses from the FPSO Operations Manager.
Make the FPSO Operations Manager Travel Authorization request through the TMS system and fill in the applicable forms and collect signatures.
Keep physical and digital files, letters, RDO´s (Daily Occurrence Report) and BDPs (Daily Production Bulletin) and other documents indicated in the Records Control spreadsheet updated and organized.
Keep all files related to the digital and electronic Operation department updated and organized on the network.
Assist the reception whenever necessary and requested and supervise the daily maintenance of the office.
Generate PR (Purchase requisition) and WO (Work Order) whenever the process is linked to the department.
Follow all documentation translations requested by the FPSO Operations Manager and by quality , as previously indicated.
Keep the ICT department aware of problems related to computer equipment and assist with more general tasks.
Make the interface between the demands of the office and the ICT department, reporting any problems with the equipment used by the staff.
Other duties that are related to the function as instructed by the Supervisor.
Need to be fully familiar and comply with Company Policies, Quality, HSE and all Procedures assigned to his title/position.

 

Profil du poste

Provide secretarial and organizational support to the Project / Client Management as required. Guarantee general secretarial duties and an efficient service to the Project / Client Team.
