EXECUTIVE ASSISTANT BILINGUE
Description du poste
* Assistance to FF / visitors:
-Plan and organize travel arrangement for the team (flights and hotels booking, buying travel tickets, visa application, mission orders) ;
-Organization of events, training, periodic meetings : invitations for participants, booking and transfer arrangements, eventually writing report, booking restaurants, etc. ;
- Updating a template to follow-up of missions and business od stakeholders
- Establish and follow-up the travel planner for the LT and visits calendar of the rep offices
-Organize colleagues’ visits from other countries visa documents, accommodation, transportation…)
*Office management
- Receiving visitors, filtering phone calls, making appointments for managers
- support secretariat operations, manage mail -file & archive franchise administrative documents
-Management and renewal of the stock of office supplies equipment according to the model in place in the country of assignment.
- Update of phone directories ;
* Procurement
- Establish purchase orders, SRM submission, confirm goods & services reception ;
- Organize purchasing for the team dedicated: briefs received from requesters, establish purchase request, business traveler forms, seek the right supplier, manage tenders, and establish purchase orders, SRM submission, confirm goods & services reception and close projects with finance ;
- take care of specific missions from the management in accordance with her assignments.
Profil du poste
• Bac + 3 Secrétariat / Bureautique
• English/French spoken
• 3 years’ experience a similar job.
