The International University of Grand-Bassam is seeking one candidate to fill the position of Facilities Coordinator in the Administration and Finance Department (ADF) in the Facilities Unit.

BASIC FUNCTIONS OF POSITION

Assist the Manager of Facilities by providing support for Building, Equipment and Maintenance activities.  Coordinate and monitor the services of maintenance contractors to ensure appropriate customer service. ESSENTIAL DUTIES AND RESPONSIBILITIES

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

 

Duties:

The duties and responsibilities include, but are not limited to, the following:

 

  • Follow up maintenance requests and make sure that repairs are properly done
  • Monitor the work done by contractors
  • Supervise the moving of equipment
  • Performs related work as required.
  • Maintains contact with vendors regarding orders, merchandise, and new products
  • Identifies potential suppliers.
  • Receives, inspects, items ordered. 
  • Prepares the delivery Report.
  • Prepares periodical reports related to purchasing, inventory control, and receiving.
  • Relays all pertinent information/issues/needs/ideas to the Facilities Manager
  • Review maintenance requests and needs and provides a daily status to the Facility Manager

 

Maintenance

  • Coordinate with departments to determine maintenance and repair schedules, prepare cost estimates; develop maintenance specifications
  • Inspect all equipment for proper functioning on a regular basis and forwards feedback to the Manager of the Unit.   Establish an equipment preventive maintenance program.
  • Coordinate the services of contractors, and vendors as required for maintenance and repair work

 

Building

  • Follow the timeline of work under way
  • Monitor the quality of work done (quality of materials used)

Other

  • Participate in the preparation and justification of the Unit’s budget

 

Skills/Qualifications:

  • Knowledge of purchasing methods and procedures as designed by the University
  • Knowledge of record keeping methods and procedures applicable to purchasing
  • Knowledge of plumbing, electricity and carpentry to evaluate work done by local suppliers
  • Ability to inspect a building, its equipment and grounds and to plan maintenance, and repair
  • Shall have license and be able to drive
  • Languages: English fluent, French fluent
  • Computer skills: Knowledge of Microsoft Office Suite

 

Minimum Hiring Standards

Two years’ university education in Facilities Management, Engineering, Business Administration or any relevant field and two years’ professional experience; or a combination of training and experience.
