Job Summary
The HR Assistant – SSC is responsible for supporting the daily HR operations of the Shared Services Center, with a primary focus on attendance management, leave administration, and HR data accuracy. The role ensures that employee attendance records are accurately maintained, verified, and reported to support payroll processing and HR compliance.
Key Responsibilities
Attendance Management (Primary Responsibility)

Monitor employees' daily attendance using the company's attendance system.

Verify attendance records and investigate discrepancies.

Track lateness, absences, overtime, public holidays, and shift schedules.

Follow up with employees and managers to resolve attendance issues.

Prepare daily, weekly, and monthly attendance reports.

Ensure attendance records are accurate before payroll processing.

Coordinate attendance corrections and maintain proper documentation.

Monitor leave balances and ensure all leave requests are properly approved and recorded.

Escalate repeated attendance issues to the HR Supervisor.

Support the implementation and improvement of attendance management processes.
HR Administration

Maintain and update employee records in the HR Information System (HRIS).

Organize and maintain personnel files.

Prepare HR letters, certificates, and administrative documents.

Ensure confidentiality of employee information.
Employee Support

Respond to employee inquiries regarding attendance, leave, and HR policies.

Assist employees with attendance system issues.

Support onboarding by explaining attendance procedures and company policies.
Reporting

Generate attendance and leave reports.

Maintain HR dashboards related to attendance and workforce statistics.

Provide regular reports to HR management.
Compliance

Ensure attendance management complies with company policies and local labor regulations.

Maintain accurate documentation for audits and internal reviews.
Qualifications
-
Bachelor's degree in Human Resources, Business Administration, Management, or a related field.

1–3 years of experience in HR Administration, Attendance Management, Payroll Support, or Shared Services.

Experience using attendance systems or HRIS is preferred.
Skills & Competencies

Strong knowledge of attendance and leave management.

Excellent proficiency in Microsoft Excel.

High level of accuracy and attention to detail.

Good analytical and problem-solving skills.

Strong organizational and time-management skills.

Ability to handle confidential information.

Good communication and interpersonal skills.

Experience with HRIS or attendance management software is an advantage.
Language Requirements

English: Intermediate to Advanced.

French: Fluent.
