The International University of Grand-Bassam is seeking a candidate to fill the position of Registrar Assistant in the Registrar’s Office.

It opened in 2005, and, by the signing of Decree 2007-499 on May 16, 2007, was formally accredited as a University within the Côte d’Ivoire higher education system. BASIC FUNCTIONS OF POSITION

QUALIFICATIONS AND SKILLS REQUIRED

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

  • Bachelor’s degree in Business Administration, Management or any other stream with course work related to Public Administration, Education and Data Analytics and two years of administrative experience.
  • Ability to provide customer service even when under deadline and other pressure.
  • Knowledge of computer equipment and appropriate software (MSWord, MS Excel, Internet Browsers).
  • Excellent oral and written communication skills in both English and French; Language proficiency will be tested.
  • Capacity to deal confidently and courteously with people at all levels (students, faculty and staff).
  • Ability to use independent judgment and take initiative.
  • Sound analytical and problem solving skills.
  • Ability to deal with confidential information with honesty and probity

APPENDIX: Job description

Job Purpose

Assist in the organization of departmental records and in the work of the Registrar’s Office in Deux-Plateaux.

Duties

  • Receive the public for requests for affidavits and transcripts.
  • Produce affidavits and transcripts for signature.
  • Assist persons requesting transcripts.
  • Enter data for the student evaluations for courses.
  • Produce and distribute all official class lists and course attendance forms when necessary.
  • Produce official grade report forms and transmit them to the faculty each semester.
  • Verify semester class lists in conjunction with Advising to establish the final semester enrollment.
  • File documents as needed.
  • Supervise student assistants.
  • Assist in the preparation and monitoring of the departmental budget. Maintain Departmental Financial Records in hard copy and digital format.
  • Request and maintain office supplies.
  • Translate documents from English into French as needed.
  • Work collaboratively with staff in the Department to ensure that expected results are delivered on time.
  • Provide general office assistance to the Registrar as needed, and as assigned and approved by the Registrar.
  • Suggest, and encourage timely and the effective steps to address problems in the areas of responsibility.
  • Coactivity and responsibility with the Administrative Assistant to the Registrar.

Minimum Hiring Standards

Bachelor’s degree in Business Administration, Management, or any other stream with course work related to Public Administration, Education and Data Analytics and two years of administrative experience; or a high school diploma or equivalent and four years of administrative experience; or a combination of training and experience.
