POSITION Procurement & Logistics Assistant
REPORTS TO Procurement & Logistics Officer
CONTRACT Fixed-Term Employment Contract
LOCATION National Office – Abidjan
PURPOSE

Under the supervision of the Procurement & Logistics Officer, The Procurement & Logistics Assistant supports the implementation of procurement procedures and the logistical management of all activities of the national office. The role ensures efficiency, compliance, and the timely availability of required resources, while contributing to meeting project and organizational standards and supporting the effective execution of field operations.

DUTIES Procurement
• Support the procurement process, including, requesting quotations in accordance with habitat for humanity’ procurement procedure or manual, gathering and sending bids to the committee,
• Assist in identifying and engaging suppliers, and follow up on orders to ensure timely and compliant delivery of goods and services.
• Support project logistics, including, storing, and distributing materials and equipment, tagging items, maintaining accurate inventory records.
• Prepare and update procurement and logistics documentation, such as purchase orders, inventory sheets, and tracking reports.
• Ensure compliance with procurement procedures, applying HFHCI internal policies and Adaptation Fund requirements, and contributing to transparency in all operations.
• Support logistical planning for field activities (trainings, workshops, missions, reforestation activities, equipment deployment, etc.).
• Perform any other related duties required for effective project implementation.
• Ensure timely delivery of procurement requests
• Contribute to making decisions that have an impact on procurement efficiency.

Logistics
• Support project logistics, including storing, and distributing materials and equipment, updating the asset register on a timely manner, tagging items, maintaining accurate inventory records.
• Supervise all work (general services, electricity, plumbing, security, etc.) carried out by service providers
• Supervise and control vehicle fuel supplies and maintain dashboards for monitoring fuel management, vehicle maintenance, and repairs;
• Supervise drivers' tasks and help them in their daily plans, and check that drivers keep their logbooks properly;
• Manage the vehicle fleet and supervise drivers;
• Organize and maintain a filing and archiving system for the logistics unit.
• Creates purchase orders, ensuring relevant procurement procedures have been applied and all supporting documentation is attached
• Assist with the preparing of procurement plan, tendering, and bidding documents, awarding contracts and contract agreements
• Assist with ensuring procurement requests are properly authorized, checked, documented and complied with Financial Regulations and Financial Authorization Procedures
• Collaborate with all habitat for humanity Côte d’Ivoire team to facilitate their procurement requests

QUALIFICATIONS

• Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or a related field.
• At least 2 years of experience in logistics, procurement, supply chain, or administrative support, ideally within NGOs, development organizations, or corporate environments.
• Practical experience in :
o Managing purchases, supplier relations, and procurement documentation
o Coordinating logistics for events, missions, and field activities
o Inventory management, stock control, and asset tracking
o Handling shipments, deliveries, and transportation arrangements
• Basic knowledge of procurement procedures, market assessment, and vendor management.
• Familiarity with logistics challenges in Côte d’Ivoire, including local markets, transport systems, and supply chain constraints.
• Strong organizational, planning, and time-management skills, with attention to detail.
• Good communication skills in French, with basic proficiency in English considered an advantage.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital tools for procurement and inventory tracking.
• Ability to work collaboratively, manage multiple tasks, and support operations in a dynamic and fast-paced environment.
• Integrity, professionalism, and respect for procurement ethics and compliance standards.

EXPERIENCE, KNOWLEDGE, SKILLS & ABILITIES REQUIRED • Proficiency in basic logistics and procurement processes, including purchasing, vendor coordination, inventory tracking, and documentation management.
• Commitment to upholding Habitat for Humanity Côte d'Ivoire’s Vision, Mission, and Principles.
• Ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) effectively for reports, tracking tools, and documentation.
• Strong organizational, problem-solving, and analytical skills, with the ability to handle procurement tasks and logistics challenges efficiently.
• Good communication and interpersonal skills, with the ability to liaise effectively with suppliers, transporters, and internal teams.
• Ability to work under pressure, prioritize tasks, and manage multiple procurement or logistical requests simultaneously.
• High level of integrity, confidentiality, and compliance with organizational procurement and logistics policies.
• Ability to collaborate effectively with colleagues, partners, and external service providers.
• Willingness to work outside regular hours when urgent procurement or logistical needs arise.
• Availability to travel to field sites to support deliveries, inventories, or logistics operations when needed.
