HR & PR Assistant
Job Title : HR & PR Assistant
Reports to : HR & PR Team Lead
Department : Human Resources & Public Relations
Work Location : Plateau Office, Abidjan (Côte d’Ivoire)
Purpose of Role:
To provide a full administration service and support to the HR & PR Team Lead. Also, to provide support to the wider departmental teams in Côte d’Ivoire and report to HR Team Lead routine activities.
Duties & Responsibilities
HR Administration
- HR & PR file management & follow-up: registration & treatment of incoming couriers, prepare letters, follow-up & filing documents, etc.
- Department day to day administration : handling incoming phone calls, managing Department schedule, organising meetings, handling daily communication with employees (information emails) & as well as employees’ requests
- To handle Office personnel movements: process all Departments annual leave plans and manage sickness/absence.
- To run employees and partners agents’ training programmes: to run identified and approved trainings for employees & partners agents
- To handle visa requests, prepare letters of invitation for employees and partners.
- To run archives
- Translation of documents & official letters
- To handle administration of adds, publications in local papers & magazines
Recruitment
- Provide files and CV’s for selection, arrange interviews appointments and participate in interviews for interns, CDD and permanent staff.
- Prepare and process new start paperwork and induction
- Daily management of interim personnel, contractors and handle interim companies
- Placement agencies: to register requests from all the Departments & to follow-up the movements of the non-CNR personnel.
- Labour contract : follow up of contracts in order to update them for amendments, renewals and termination (permanent and short term contracts, interims, contractors)
Payroll & Benefit Administration
- To collect payroll data, manage personnel overtime, compensation and offshore allowances data
- On a monthly basis, process data in payroll software
- Before sending the overtime and offshore compensation allowances for signature, ensure the accuracy of the data.
- To run tax on salaries (ITS, CNPS, CMU): run & register different taxes on salary to be paid to Tax administration & Social Security body (CNPS) on a monthly basis.
- Personnel bank loan requests follow up : make sure appropriate back-ups are provided before submitting the file to Management approval
- To run and do a daily follow up of the CNPS services: services include accident in the work place, social security, pension
- To run the employees’ insurance contracts :health insurance and pension fund
others:
- Staff entertainment: to run team-building events during the year as well as at the end of year (End of year party, employees’ children Christmas tree party, learn & lunch…etc).
Education/Qualifications:
- Good general education (University graduate or Business School graduate) Bachelor or Master Degree in Human Resources, Law or Business Administration with relevant exposure to Human Resources activities and projects
- Ability to thrive in multicultural work environment
- Strong work ethics and proficiency with Payroll Software Sage
- Good knowledge of MS Office (Word, Excel, Powerpoint)
- Confidentiality, sensitivity and professional integrity
- Ability to prioritise own workload to meet deadlines
- Minimum of 3 years in a Human Resources role
